Purpose:

Student representation is at the heart of everything the GSA does. The Representation & Democracy Coordinator is  instrumental in ensuring our elected postgraduate student officers are supported to carry out their roles. This combines with involvement in development and policy work ensuring that all learning experiences are reflected in University and Union projects.

The successful candidate will be responsible for the smooth running of all GSA elections and ensuring they’re carried out in a fair and democratic manner. This will include the administration of the election platform, working with the Communications and Design Coordinator to ensure that the elections are well promoted and visible, as well as providing training, briefings and support for candidates.

In this position, you will provide ongoing support to all elected officers through the year, in particular providing committee briefings for elected officers, supporting student voice activity and campaigns.

Key Responsibilities:
  • To develop and deliver training and induction activities for all principal and part-time officers.
  • To organise and lead on the running of all GSA elections, including development and production of training and promotional materials and the coordination of marketing and publicity..
  • To provide all round democratic support for the GSA officers including meeting briefings and papers.
  • To prepare briefings for student officers and representatives prior to meetings and to provide secretariat for the GSA Student Council.
  • To lead on the development of academic representation, student voice and students’ engagement
  • To help in the development and training of Postgraduate course/research representatives system and College Graduate Common Room Chairs.
  • To support with the coordination of postgraduate faculty and course reps including convening regular faculty fora and ensuring accurate records are kept and reports prepared when required.
  • To develop and design training resources and training programmes for academic representatives.
  • To lead on the engagement of postgraduate students in University academic quality processes and surveys, including Periodic Review, Annual Programme Review, Postgraduate
  • Taught/Research Experience Survey (PTES/PRES).
  • To work with the principal officer team and in collaboration with YUSU Student Voice team and University to develop and implement policy changes to support the experiences of all students.
  • To oversee a programme of regular communication and engagement with all academic representatives.
  • To support the campaigns of all principal and part-time officers at the GSA.
  • To ensure accurate records are kept for all students holding roles with the GSA and that this data is stored in line with GDPR and best practice.
  • To develop professional relationships with University departments and individuals, firstly in the realms of student voice, but also on a wider scale.
  • To provide support to the CEO and the elected Officers as required

Communications and Design Coordinator

Purpose: 

This new role is replacing part of our previous Communications and Events Coordinator role, allowing for a greater focus on providing quality communications and marketing support to the organisation. The successful candidate will be joining our small team of 9 staff and 3 student sabbatical officers, based out of our lively office in the heart of Campus West.

Reporting to the CEO, the Communications and Design Coordinator will develop and deliver new visual and written communication for new and ongoing projects; this will include branding, photography, video, website, logos, social media and marketing

  • Devise and implement GSA annual Communications strategy
  • Responsible for producing, developing and reviewing the communications output of the Graduate Student’s Association
  • Act as the “brand guardian” for the GSA, generating a consistent approach to design and brand messaging across all key GSA and University communications platforms
  • Provide support and training in communications-related areas for officers and staff
  • Responsible for line management of Events and Community Coordinator

Key Responsibilities:

Communications

  • Devise and oversee management of the GSA Marketing and Communications strategy and aligned budget
  • Lead on a sustainable approach to all areas of communications
  • Coordinate email marketing including weekly bulletins
  • Generate and plan content for all GSA social media channels
  • Manage student data in line with GDPR regulations
  • Maintain and update the GSA Website and coordinate the GSA’s other web presences (i.e. online voting platform for elections, ticketing websites etc.)
  • Stay abreast of emerging trends in communications and identify opportunities to apply them within the GSA
  • Provide communications support and training for GSA Officers and staff
  • Lead on writing external statements and press releases for the GSA when appropriate
  • Identify and maximise opportunities for collaboration with the University of York’s marketing team on joint messaging and all forms of communications collateral featuring the GSA
  • Working with University stakeholders on key University recruitment and induction events
  • Provide quarterly updates to the CEO on all areas of responsibility

Design 

  • Produce effective graphic design solutions from initial brief to finished product for a variety of print and digital media
  • Ensure all design work is appropriate to the designated media and audience and complies with accessibility and branding guidelines.
  • Maintain and update the GSA “brand” and brand guidelines. Train and support others to use them.
  • Assist colleagues with the print production process from start to finish using external or internal suppliers
  • Provide photography support at events when requested
  • Produce, film and edit video content including live online broadcasts

General

  • Provide excellent customer service in dealings with students, officers, staff and members of the public
  • Play an active part in Officer Elections and inductions for new officers
  • Support the GSA Officers in the running and implementation of campaigns
  • Record results and prepare reports when required.

Events and Community Coordinator

Purpose: 

This new exciting role replaces part of our previous Communications and Events Coordinator role, allowing for a greater focus on providing postgraduate students access to quality events, volunteering opportunities and skills development. The successful candidate will be joining 6 staff and 3 student sabbatical officers.

The Events and Community Coordinator is responsible for developing and implementing the GSA’s core activities whilst supporting officers and staff to run their own events and projects:

  • Devise and implement annual GSA Events and Community strategy
  • To develop an engaging year-long events calendar, with activities suitable for a diverse student population
  • To provide volunteering opportunities for students, coordinating training and resources to be able to carry out their volunteering
  • To support the officers “building a postgraduate community” through the GSA Networks, community projects and sports provision.

Key Responsibilities:

Events

  • Develop and implement calendars of events for postgraduate students
  • Lead on the planning and implementation of the GSA’s Postgraduate Welcome Week in September
  • Support campaign generation for sabbatical officers
  • Liaise with external and internal suppliers and venue managers
  • Work closely with the Communication and Design Coordinator to appropriately market and advertise events, including event registration and ticketing
  • Ensure that effective health and safety provisions and risk assessments are in place for all activities
  • Lead on event setup, running, and pack down when needed
  • Collaborate with University staff on developing external and internal events
  • Work in collaboration with research to define the events needs of the postgraduate community
  • Manage the GSA Events budgets, in cooperation with the CEO in a sustainable manner
  • Organise and keep records of all GSA events related tech and equipment

Community

  • Develop the GSA’s volunteering provision, researching and identifying volunteering opportunities within the organisation and externally
  • Work closely with the Communications and Design coordinator to advertise opportunities to students
  • Recruit and manage GSA network coordinators, producing regular reports on the network’s activities
  • Support the GSA’s Sports provision, keeping regular contact with sports leaders to ensure sessions are running well
  • Coordinate and develop community-led projects such as the Postgraduate Community Fund and Free English Language classes, liaising with students to ensure they are fully supported
  • To support GSA officers attending meetings relating to volunteering, events, sports and community building.

General

  • Provide excellent service in dealings with students, officers, staff and members of the public
